Lincoln, NE - Set to be completed this fall, the Cooperative Benefits Administrators Office Building in Lincoln, Nebraska is using the Submittal Exchange software for submitting, reviewing, and tracking shop drawings and construction submittals electronically. While utilizing the software on the 45,000 square foot office building the team found that Submittal Exchange is providing a quicker and smoother process as compared to the traditional paper method.
The team is enjoying the ease of the Submittal Exchange system. "The project is going very well. It is nice when you can have one person handling all of the submittals by themselves on all of the projects totaling $20 million worth of work. That does not happen on projects without Submittal Exchange," exclaims Tom Kusek, Assistant Project Manager for Hampton Commercial Construction Incorporated, a 75 person construction company located in Lincoln, Nebraska. "Communication is much better. I like the ability for the superintendents to be able to access submittals from the field."

According to the participants, Submittal Exchange is saving the team a lot of time. "Submittal Exchange has been very willing to work with us to make sure the system meets our needs," states Jim Krieger, Project Architect with Architectural Design Associates (ADA), an architectural firm in Lincoln, Nebraska. "The decrease of time in transit and not having to send it to a consultant through the mail, courier, or to the contractor is great. Submittal Exchange has helped those timelines because it is nearly instantaneous rather than waiting for the other party to receive the documents via mail or courier."
Additional project team members from ADA include Project Manager, Dick Bergt and Design Architect, David Wiebe. Advanced Engineering Systems, Structural Design Group, and REGA Engineering Group, are also each active in using the Submittal Exchange system for the project.
"Use of Submittal Exchange has enabled project managers to complete the whole process quicker," exclaims Kusek. "Submittal Exchange has sped everything up and we actually have some turnaround times that are less than an hour, which is an incredible time saver. I feel that we will have saved at least a week off the project schedule as a result."
"Since one of our team members is located out of town, Submittal Exchange has helped us substantially in the sending and receiving portion of the process. It gives everyone the ability to access and view a submittal the instant we upload it," comments Krieger. "It also helps me as the project architect with paper management because it is easier to manage submittals, whether they are shop drawings or RFIs, by handling them electronically rather than dealing with them in paper form."

Krieger also goes on to say, "I am spending a lot less time shuffling paper. Getting something in from the contractor, writing a transmittal, shipping it off to the next party multiple times, and copying red lines to multiple paper copies gets really tedious. Submittal Exchange is making the whole process significantly easier and a lot less cumbersome."
The team also commented on their favorite features of the Submittal Exchange system. "My favorite feature(s) are the different log types because we can utilize them for items other than just shop drawings and submittals," says Krieger.
When asked about recommending Submittal Exchange to other professionals the team unanimously said they will do so. "Our senior project managers say that they will never do a large project again without Submittal Exchange. These are guys that have been in the industry 30+ years and have ran their own businesses," comments Kusek.
